BOOKING CONTRACT

** Please read all details below carefully and, if you are in agreement with everything, then sign below and fax/send us a copy of the full form within 1 week or contact us immediately for any changes. Failure to contact us upon receipt of this form (or within 7 days) will not be regarded as a cancellation or a tentative arrangement. To the contrary, it will be deemed as your acceptance of the booking and the associated terms & conditions stated herein.

Payment can be by cheque or EFT (bank details are on the invoice) to be received by us, either in the mail or in our account, by the due date. Credit card payments can also be made with either visa or master card. A 3 % surcharge will be added to all credit card payments of more than $500/payment.

PROMOTION: The client will not use the Gecko Gang name or logo in the promotion of any event unless specific written permission has been given.

OTHER SERVICE PROVIDERS: The Gecko Gang will not work alongside other service providers who provide the same or similar services, as they can provide, without prior arrangement. If you have hired or wish to hire other service providers for these services (face painting, balloon modelling, games, children’s craft or inflatable rides) you hereby agree to inform The Gecko Gang office prior to signing this form otherwise they may be forced to abandon the booking on the day at full cost.

CANCELLATIONS: If the booking is cancelled within 1 week of the date on this form then no fee is payable (provided this date is at least 3 weeks prior to the booking date – otherwise this cooling off period is forfeited). If the booking is cancelled after this but leaving more than 14 days notice then the booking fee is payable. 50% will be charged if the booking is cancelled 1-14 days prior to the scheduled event. 100% will be charged if the booking is cancelled on the day for any reason other than for bad weather – see below. Cancellations (other than on the day due to weather) must be made in writing and any fee due will be payable within 14 days of the cancellation date.

BAD WEATHER The client/contact person agrees to contact us and/or that they will be contactable on the above number(s) on the event day in case a bad weather plan has to be arranged. Please make sure this number is correct. Cancellation must be decided on the day and there must be a reasonable likelihood of poor weather i.e. rain/thunderstorms forecast or already happening to qualify for the lower fee level. A chance of showers forecast but currently dry does not qualify. If the weather is bad on the booking day (this includes rain, strong possibility of thunderstorms and/or strong wind – over 25km/hr for rides), the job can be transferred to an inside venue (or under cover area where appropriate) or cancelled at least 2 hours prior to start time.  For safety reasons, the Gecko Gang has the final say as to the suitability of the weather for the services booked. NB. If we can’t contact you on the day, you agree for us to make the decision according to the conditions and you agree to pay the relevant fee.

BAD WEATHER CANCELLATION FEE : (Applicable? Yes /No) Provided that the booking is cancelled on the day with at least 2 hours notice, the wet weather cancellation fee will be 20% of the total booking value. If the booking is cancelled after this but leaving a full hour prior to the start time a fee of 30% of the full booking value will be charged. If the booking is cancelled within the hour prior to start time the fee will be 50% of the total. Once the start time has passed the full fee is payable. If some services can go ahead (i.e. cancel rides but keep face painting etc) you will be charged for the services that you receive plus 15% of the cancelled services value, provided that sufficient notice (2 hours) has been given to cancel the rest.

NB. Cancellation of a booking before the day due to potential bad weather will be charged at the non- weather related rates above. 

POSTPONING: Provided the booking is paid in full we will offer one penalty free postponement to a date within 3 months if the booking can’t go ahead due to the weather (decision made on the day). If a decision is made before the day to postpone due to the weather an additional 15% admin fee will be charged.
